Privacy policy

Introduction

ConstructionSync ("we", "us") is an AI consulting business for general contractors and trades, based in Quebec, Canada. This policy explains how we handle personal information collected through constructionsync.ca and when you contact us by email or phone.

We follow Quebec's Act respecting the protection of personal information in the private sector (as updated by Law 25) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

When we build or maintain a system for a client, we process their customers' and employees' personal information on the client's behalf, as a service provider. The client's own privacy policy applies to that information, and our handling of it is governed by our written agreement with the client.

Information we collect

When you use our contact form

• Your name and email address
• Your company name and phone number, if you give them
• The topic you choose and the message you write

When you book a call

• Your name and email address
• Your company name, phone number and what you'd like to automate, if you give them
• The date and time you pick

These details are added to our Google Calendar so Google can send you the invitation and Google Meet link.

When you email or call us

Your contact details and whatever you choose to tell us about your business.

When you browse the site

Our hosting provider automatically processes technical information such as your IP address, browser type and the pages you request. This is needed to deliver the site and protect it from abuse. We don't use it to identify you.

We also count visits with Cloudflare Web Analytics, which gives us totals such as page views and referring sites. It doesn't use cookies and doesn't follow you from one visit to the next.

We only ask for what we need to reply. Please don't send sensitive information, such as health details or bank account numbers, through the form.

How we use your information

• To reply to your inquiry, and to schedule and hold the call you book
• To understand how your business runs, so we can recommend and scope work
• To deliver and support the work, if you become a client
• To keep the records the law requires, such as invoices
• To keep the website secure and working, and to see which pages people visit

By sending the contact form or booking a call, you consent to these uses. You can withdraw your consent at any time by writing to us.

We never sell your information, and we don't use it for advertising. We only email you about your inquiry or our work together. We won't add you to a mailing list without asking first.

Sharing and service providers

We share personal information only with the service providers that help us run the business, and only what each one needs:

• Google (Gmail, Google Calendar and Google Meet, through Google Workspace) provides our email, receives call bookings and hosts the video calls.
• Cloudflare hosts the website, protects it from attacks, provides our visit statistics (Cloudflare Web Analytics) and passes contact form and booking details to our Google inbox and calendar without storing them.
• Google Fonts serves the site's typefaces. Your browser connects to Google to load them, which shares your IP address with Google.

We use AI tools on business accounts whose terms prohibit training on our data. We send them only the information a task requires.

We may also disclose information when the law requires it. If ConstructionSync is ever sold or merged, your information would only be transferred under the same protections described here.

Storage outside Quebec

The providers above may store or process information on servers outside Quebec and outside Canada, including in the United States. We choose providers that commit to protecting personal information and that use encryption and access controls. Information stored outside Canada may be subject to the laws of the country where it is held.

Data security

The site is served only over encrypted connections (HTTPS). Access to your inquiry is limited to the people at ConstructionSync who need it to reply or do the work.

No system is perfectly secure. If a confidentiality incident creates a risk of serious harm, we will notify you and the Commission d'accès à l'information du Québec, as the law requires.

Data retention

• Inquiries and booked calls that don't lead to work: kept for up to 24 months after our last exchange, then deleted. This includes the calendar event for your call.
• Client information: kept for the length of the engagement, then as long as the law requires. Accounting and tax records are generally kept for six years.
• Technical logs: kept briefly by our hosting provider under its own policy.

Your privacy rights

You can ask us to:

• Tell you what personal information we hold about you and give you a copy
• Correct information that is wrong or incomplete
• Stop using your information and delete it, unless the law requires us to keep it
• Send you your information in a structured, commonly used format

Email info@constructionsync.ca with your request. It's free, and we reply within 30 days.

If you're not satisfied with our answer, you can file a complaint with the Commission d'accès à l'information du Québec or the Office of the Privacy Commissioner of Canada.

Cookies and tracking

We don't use advertising or tracking cookies, and we don't build profiles of visitors.

• Language choice: if you switch between English and French, we set a lang cookie so the site remembers your choice. It's kept for one year and only stores "en" or "fr".
• Security: our hosting provider may set strictly necessary cookies to protect the site from bots and attacks. These don't follow you across other websites.
• Visit statistics: Cloudflare Web Analytics counts visits without cookies or similar identifiers.

You can delete cookies at any time in your browser settings. The site works without them; it just won't remember your language.

How we manage personal information

These are the internal rules we follow for the personal information we hold:

• Roles: the person responsible for personal information (named below) approves how information is collected, used and shared, and handles requests and complaints.
• Access: only the people at ConstructionSync who need information to reply to you or do the work can see it, on accounts protected by two-step verification.
• Retention and destruction: we keep information only for the periods listed in "Data retention" and then delete it from our inbox, calendar and files.
• New tools and transfers: before we start using a new service that handles personal information, or send information outside Quebec, we assess the privacy risks and check the provider's protections in writing.
• Incidents: we record every confidentiality incident in a register, limit the damage, and notify the people affected and the Commission d'accès à l'information when there's a risk of serious harm.
• Requests and complaints: you can write to us at any time. We confirm receipt, answer within 30 days, and explain your options if we can't do what you ask.
• Review: we review these rules and this policy at least once a year and whenever our tools change.
